Privacy Policy

1. Scope

This policy describes how Qorvex LLC collects, uses, and protects personal data when you use Life Admin AI (the "Service"). It applies to all users regardless of location; sections 9 and 10 describe additional rights that apply specifically if you're in the EEA/UK or California.

2. What we collect

• Account data: name, email address, and a hashed password — we never see or store your password in plain text.
• Content you provide: documents you upload, and the titles, categories, notes, tasks, and reminders you or our AI feature attach to them.
• Billing data: handled directly by Stripe under its own privacy policy; we store only your subscription status and Stripe's customer/subscription IDs, never your card number.
• Usage data: how many AI analyses you've used in the current billing period, needed to enforce plan limits.
• Technical data: IP address and basic request logs generated automatically by our hosting infrastructure for security and debugging, retained briefly and not used for tracking or advertising.

3. How we use it, and our legal basis

We process your data to provide the Service you've requested: storing and displaying your documents and tasks, sending reminder emails you schedule, processing subscription payments, and — only when you click "Analyze with AI" on a specific document — sending that document's content to our AI subprocessor to generate suggestions.

Where GDPR applies, our legal bases are: performance of a contract with you (running the core Service), legitimate interest (security, fraud prevention, service improvement), and consent (the optional AI analysis feature, which only runs on a document when you actively choose to analyze it). You can withdraw consent for future AI analysis at any time simply by not using that feature — it never runs automatically.

We do not use your content for advertising, do not build advertising profiles, and do not sell your data.

4. Automated processing (AI feature)

When you use the AI analysis feature, an automated system (provided by our subprocessor Anthropic) reads the document you submit and returns suggested metadata and tasks. This output is never automatically applied to your account — it's shown to you for review, and nothing is saved unless you choose to keep it. No decision with legal or similarly significant effect is made about you by this automated process.

5. Who we share it with

We use the following subprocessors, each bound to process data only to provide their part of the Service:

• Supabase — database, authentication, and encrypted file storage.
• Anthropic — processes a document's content only when you request AI analysis of it.
• Stripe — payment processing for paid subscriptions.
• Resend — delivery of reminder emails you schedule.

These providers may process data on servers located outside your country of residence. Where required, transfers rely on appropriate safeguards such as Standard Contractual Clauses maintained by each provider. We don't share Your Content with any other third party, and never sell it. We may disclose data if required by law or to protect the rights, safety, or property of Qorvex LLC or our users.

6. Data retention

We retain your account data and content for as long as your account is active. If you delete a document or task, it's removed from active storage immediately; residual copies may persist in encrypted backups for up to 30 days before being purged. If you delete your account, we delete your personal data and content within 30 days, except where we're required to retain limited records (e.g. billing records) for legal or tax purposes.

7. Data security

Your data is protected by Row Level Security enforced at the database level — our own infrastructure, not just the application code, ensures only you can read or write your documents, tasks, and reminders. Data is encrypted in transit (HTTPS/TLS) and at rest by our infrastructure providers. Access to production data by us is limited to what's necessary for support and maintenance. No system is perfectly secure; if we become aware of a data breach affecting your personal data, we'll notify affected users and relevant authorities as required by applicable law, without undue delay.

8. Cookies

We use a single session cookie, strictly necessary to keep you logged in. We don't use advertising, analytics, or cross-site tracking cookies, so no cookie consent banner is needed for what we currently use.

9. Your rights (EEA/UK/GDPR)

If you're located in the EEA or UK, you have the right to:

• Access the personal data we hold about you;
• Correct inaccurate data (most of this you can do directly in the app);
• Request erasure of your data;
• Restrict or object to certain processing;
• Receive your data in a portable format;
• Withdraw consent at any time (for the AI feature specifically, simply by not using it going forward);
• Lodge a complaint with your local data protection supervisory authority.

10. Your rights (California/CCPA)

California residents have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to non-discrimination for exercising these rights. We do not sell or share your personal information for cross-context behavioral advertising, so there's no opt-out needed for that. Submit requests to support@getlifeadminai.com.

11. Your rights, everyone else

Regardless of location, you can access, edit, or delete any document, task, or reminder directly in the app at any time, and can request a full export or account deletion by emailing support@getlifeadminai.com.

12. Children's privacy

The Service isn't directed at children under 13 (or the relevant minimum age in your jurisdiction), and we don't knowingly collect their data. If you believe a child has provided us personal data, contact us and we'll delete it.

13. Changes to this policy

We may update this policy from time to time. We'll announce material changes in the app or by email at least 14 days before they take effect where practicable.
